Terms & Conditions

I. GENERAL

  • Personal order sheet and dashboard will be provided to track all orders, purchase status,

  • package arrival status, and shipping progress.

  • Proxy purchase and international shipping will proceed after the full payment has been received and confirmed in our bank account.

  • Please get a confirmation from us first before making any payment for proxy purchases. Please do not send us the money without any notice!

  • Proof will be shared for every transactions, including proxy purchases and shipping.

  • All form submissions, transactions, and due dates (including quotations and shipping invoices) are recorded based on Korea Standard Time (KST).

  • Failure to follow our policies may result in a warning or service termination.


II. PROXY PURCHASE (PURCHASE BY BEAMIN)

  • Online proxy purchases are accepted for all Korean websites that support Korean card

  • payments.

  • Payment is required within 24 hours of the quotation being issued. For fast-selling items,

  • immediate payment is strongly recommended to secure the purchase.

  • Offline proxy is only available for BeaMin members who also use our international shipping service. Please contact us in advance for the available schedule and price list.

III. PURCHASE BY CLIENT

  • Make sure to enter the correct warehouse address and your personal code when placing an order.

  • Update the tracking number in your personal order sheet before the package arrives.

  • Unregistered packages will be listed in Purchase by Client (PC) sheet—only the tracking number. BeaMin is not responsible for any loss if the item details are not provided.

  • Packages without a personal code, missing full name, or unclear labeling will be listed in the Lost & Found sheet. If you can't find your package in the Purchase by Client (PC) sheet or the arrival folder, please make sure to check the Lost & Found sheet.


IV. WAREHOUSE SERVICE/STORAGE

  • Each package includes a 30-day free storage period. This period begins once the package is updated in our system after arrival.

  • Storage fee applies after the 30-day free period — ₩1,000 per tracking number per day.

  • Package arrival photos may take 2–3 working days to be updated after the actual arrival date.

  • Tracking numbers will be updated on your personal order sheet. No updates = Delivery has not started or items have not arrived at our warehouse.

If any package arrives using the COD method, an additional fee (double from the COD cost) will apply.

  • Packages stored for more than 3 months without communication — including items listed in the Lost & Found sheet — will be subject to automatic disposal without prior notice.

*Disposed goods will be handled at our discretion (e.g., donation, resale, etc.)

V. SHIPPING/CONSOLIDATION

  • Submit the shipping request form to start the consolidation of your items. In case you put all items for the shipment, it will be based on the date and time of form submission. For example, the submission is on Aug 25 at 2 PM, but your other items arrive on the same day but are updated at 6 PM. Then, these items will not be included in the consolidation process.

  • Adding items during the consolidation process is NOT ALLOWED!

  • For repackaging or vacuum sealing (excluding additional bubble wrap), submit the ‘Other Services’ form first and wait for completion notice before submitting a shipping request. Requests added in the shipping request form will not be processed.

  • Packages may be split into two or more boxes if the weight exceeds 20-30kg (depending on the country’s regulations), or if all items requested do not fit into a single box.

  • Our standard packaging includes one layer of bubble wrap. If you’d like extra protection, you may request additional layers — an extra fee will be applied.

  • Consolidation process normally takes up to 5 working days, except weekends and holidays.

  • Shipping invoice will be generated and sent once the consolidation process is complete. Shipping invoice includes international shipping cost, handling fee, additional fee (if any).

  • Shipping will proceed once the shipping invoice payment is completed. After payment is made, dispatch will be processed within 3 working days (excluding weekends and holidays).

  • Shipping is primarily handled via EMS, EMS Premium (UPS), K-Packet, DHL, and FedEx.


VI. REFUNDS, CANCELLATIONS & RETURNS POLICY

  • Refunds, cancellations, or returns are generally not offered.

  • Refunds will only be issued if: the item is out of stock.

  • If the client has submitted incorrect participant details (e.g., name, phone number, or ID for video call events), we may assist with cancellation if the store allows it — but it is not guaranteed. A cancellation fee will be applied.

  • Refunds are credited as balance by default.

  • (Only for out-of-stock items) If you prefer a refund to your local bank account, an app fee (varies depending on the app) will be applied. Please note that refunds are only supported via Sentbe. Kindly contact us directly — refund processing may take up to 3 working days.

VII.DELIVERY DELAY & DAMAGED/LOST ITEM

  • Not responsible for any delay and damaged/lost item caused by the merchant, seller, courier, shipping company, or any other party unrelated to us.

  • Not responsible for the incorrect delivery in Korea if the purchase has not proceeded by us. Therefore, please contact the place of purchase directly.

  • Not responsiblefor any transaction outside the warehouse.

ONLINE PROXY SERVICE

  • FREE Website Checkout → all KR websites

  • Split Purchases: Requests to split purchases will incur an additional fee

  • Unlimited number of purchases

  • No limit on items’ price and quantity

  • Any purchases that require bank transfer are not accepted. In case of witchform, we only accept the purchase that avail payment using credit/debit card.

OFFLINE PROXY SERVICE

  • Please contact our admins in advance for the available schedule and the price list.

  • Offline proxy order (luckydraw, pop-up store, etc.) must be placed and paid one day prior to the specified date (within our business hours).

  • Proxy Fansign order must be placed and paid three hours prior to the deadline.

  • If there is no further contact made, the request will be cancelled automatically.

PACKAGE ARRIVAL PHOTO

  • Package arrival photos will be updated within 2-3 working days (except weekends, holidays) after the actual arrival date.

  • For BOX packages, photos of both outside and inside will be taken.

  • For ENVELOPES (Aircap, Vinyl, Paper, etc) → outside only ✖ UNOPENED ✖

  • Arrival photo is only for checking the arrived items roughly. We do not check the quantity or if the store sends them correctly. If you want to check the quantity and see if they were sent correctly, please submit the detailed photo service to help you check the arrived packages or unboxing video (before the arrival) in case you need it to claim the omittted/damaged items.

  • All arrival photos will be updated in your personal folder.


UNBOXING VIDEO

  • FEE: ₩8,000 / tracking numberrecorded following a process specifically designed to support store claims

  • Please submit the ‘OTHER SERVICES FORM’ before the package arrives at the warehouse. Thus, we can take the unboxing video before opening the box for the arrival photos.

  • If you want to check the condition of each item inside the package with unboxing video service, the additional fee of ₩3,000 per item will be charged.

  • Unboxing video is an essential proof to submit a claim in case of a problem with the items you have arrived in.

  • All unboxing videos will be updated in your personal folder.


ARRIVAL FOOTAGE

  • FEE: ₩5,000 / tracking numberavailable in case you did not submit an unboxing video request.

  • Please note: This footage only provides a general overview during the arrival photo process.

→ Items are not taken out one by one, including POB sets, and no quantity or accuracy checks are performed.

  • Please submit the ‘OTHER SERVICES FORM’ if you require footage for claim purposes.

  • For store claim purposes, we strongly recommend requesting an unboxing video, as our staff will follow a claim-appropriate process.

  • ⚠ Footage files are stored for 30 days only.


DETAILED PHOTO

  • FEE: ₩1,000 / tracking number

  • Covers up to 15 items per tracking number

  • If there are more than 15 items in one tracking number, an additional fee of ₩1,000 applies for every 10 items or part thereof beyond the first 15 items.

For example:
o 16–25 items → ₩2,000
o 26–35 items → ₩3,000
o 36–45 items → ₩4,000

  • Additional request to detailed photo request like opening an albums, POBs set, etc will be charged separately.

  • FEE (Signed Album) → ₩5,000 for each signed album (including pictures of all signed pages; it doesn't applied to autograph on the album cover/one page)

  • Please submit the ‘OTHER SERVICES FORM’ after receiving the arrival update updates from us.

  • All detailed photos will be updated in your personal folder.


INCLUSION

  • FEE (Purchase by BeaMin): ₩1,000 / album (or item)

  • FEE (Purchase by Client): ₩1,400 / album (or item)

  • FREE proof photo of inclusions

  • FREE sleeve for the photocards—may be applied individually or as a set. Not applicable to QR cards, lenticular cards, or similar types — these will be packed together.

  • FREE packaging the photocards with cardboard

  • Submit the inclusion-only service request form within 5 days AFTER packages' arrival updateDO NOT submit the request before getting arrival update. Submitting the request after the mentioned period, additional fee of ₩5,000/tracking number will be charged.

  • Manufacturing defects, such as fine scratches, omitted inclusions are out of BeaMin's responsibility.

  • All inclusion photos will be updated in your personal folder.


REPACKAGING

Vacuum Packing

  • FEE: ₩7,000 (small), ₩10,000 (large)

  • Recommended to save space in the shipping box

  • Perfect for items like dolls, clothes, etc.

  • If you wish to have an item vacuum-packed individually, please indicate it on the form.

  • Additional fees may apply in the following cases:

For example:
o If a photocard inside a doll or plushie, or the item is unsafe to vacuum pack (repackaging fee)
o If you request to keep original boxes (folding box fee)
o Other special handling requests

Envelopes Repackaging

  • FEE: ₩2,000 / tracking number

  • Perfect for the envelopes with bulky packaging from the sellers

  • Includes cardboard and bubble wrap

Repackaging (Others)

  • FEE may vary depending on the items requested to be packed.

Splitting Package

  • FEE: ₩2,000 / splitting

  • If you wish to ship items partially from one tracking number

  • Spliting photocards, POB are NOT ALLOWED


OTHER SERVICES

  • Weighing/measuring item(s) → ₩1,000 for each item or per tracking number (whole package)

  • Removing KiT Battery or any item that is complicated → ₩5,000 each item

  • Removing Battery → ₩3,000 each item

  • Checking Item/Qty → ₩2,500 per tracking number

  • Discarding item(s) → Purchase by BeaMin (FREE), Purchase by Client starting from ₩500 per item

  • Contacting Store → ₩5,000/case

!! Finishing process for detailed photo, unboxing video, repackaging, other services can take up to 3 working days (except weekends & public holidays) depend on the volume of requests.

PRIORITY HANDLING SERVICE

  • This service expedites the consolidation and packing process, which will be completed within 2 working days (excluding weekends and holidays).

  • Priority handling is subject to approval and workload.

  • An additional fee of 2x the standard handling rate will apply.

  • Once payment is confirmed, the package will be dispatched the following working day.
